Projector rental is an option to buying a projector in many circumstances. There are many reasons why a person would need to use a projector, such as they could be hosting a conference or meeting, preparing a speech for a fundraiser, or any number of other functions that could require the use of a projector. But when should you buy and when should you opt to rent a projector?

Many companies and individuals automatically assume that to use a projector one must buy it, or they want to believe that owning one is prestigious. However, there is another option, rental of a projector. Many go out and buy the projector and discover they have a piece of equipment that rarely gets used. There are several things to consider before buying the projector.

First, how often will the projector actually be used in a year? If it is only 3 - 5 times a year it is not a very feasible to purchase a projector. With technology changing, how soon would the projector be obsolete? New and enhanced projectors are coming out to the public almost yearly. The last question, how much are you willing to spend on maintenance and storage of this piece of equipment? All of these have to be taken into consideration.

If you are only going to use the projector a few times a year, it would be better to go to a rental company. This would not only save you the money of purchasing the equipment, but the rental company would always have the latest and greatest model for your use. There would be no need to worry about maintenance or storage, and you can sometimes get deals for ? day rentals. Plus, the rental is an expense and may be tax deductible, but you would need to check with your accountant.

Now that it has been decided rental is the way to go, here are a few tips about renting the projector you need.

Know the size of your venue to ensure the projector will display the presentation properly. The wrong projector can cause a faded or blurry look to the displayed presentation.

Know the connection that is needed and if other equipment should be rented as well, such as a laptop.

Know if you will need to rent a screen for the presentation or if the screen is provided by the venue.

A knowledgeable sales person should be able to take your projector needs and assess the type of projector you will need based on the answers of the above questions and several others he may ask. You may also want to go to several different companies to get an idea of the price range for rentals, and if the rental company offers ? day rental. This information could help you create a relationship that you use every time you have a projector rental need. If you are going out of town and need a projector, find several rental companies in the town you will be speaking and talk to them. Having all of this basic information will make your presentation better, and keep your expenses lower. Remember renting may be better than buying and is usually less expensive.
